HP Officejet Pro 8500 (A909a), 8500 Premier (A909n), and 8500 Wireless (A909g) Printers - Set up and Use HP Digital Fax in Windows for a Wireless or Ethernet Connection

Introduction

With HP Digital Fax, you can forward faxes sent to your wireless or Ethernet-connected product as attachments to e-mail. You can also choose to save the faxes to a folder on a network drive. You can then receive the faxes from any place while you work away from the office. You can also turn off the fax printing option, to save on the cost of paper and ink and to help reduce paper waste.

NOTE: HP Digital Fax works only for black and white faxes. The product prints any color faxes you receive, instead of saving them to a network file or forwarding them as attachments to an e-mail.

Set up and use HP Digital Fax

Follow these steps to set up and use HP Digital Fax.

Step one: Gather information

Before you set up HP Digital Fax, make sure that you have this information available. You might find it helpful to contact a system administrator for assistance.

To set up the product to save faxes to a network folder, gather the following information:

  • Network privileges to write to the destination folder

  • The name of the computer on which the destination folder is located

  • The network address of the folder, which is usually in the \\NetworkDriveName\FolderName\ format

  • Your user name and password for the network

To set up the product to send faxes as attachments to e-mail, gather the following information:

NOTE: This option is available on the Officejet Pro 8500 Wireless (A909g) and Premier (A909n) products only. Fax to e-mail is not available on the Officejet Pro 8500 (A909a) product.
  • A valid e-mail address

  • Outgoing SMTP server information

  • An active Internet connection

Step two: Set up HP Digital Fax

If you have a wireless connection, or if your Ethernet network uses IPv4 to assign network addresses, you can use HP Solution Center or the Embedded Web Server (EWS) to set up HP Digital Fax. IPv4 is the most common protocol for Ethernet networks.

If your Ethernet network uses IPv6, you must use the Embedded Web Server to set up HP Digital Fax. For more information about using the Embedded Web Server (EWS), see the Use the Embedded Web Server document on the HP Web site (c01554589) (in English).

Both methods automatically detect the e-mail settings for the following e-mail programs:

  • Microsoft Outlook 2000 (Windows XP)

  • Microsoft Outlook 2003–2007 (Windows XP and Windows Vista)

  • Outlook Express (Windows XP)

  • Windows Mail (Windows Vista)

  • Mozilla Thunderbird (Windows XP and Windows Vista)

  • Qualcomm Eudora (version 7.0 and above) (Windows XP and Windows Vista)

  • Netscape (version 7.0) (Windows XP)

You might also be able to use other e-mail programs that meet the requirements for HP Digital Fax.

Use one of these methods to set up HP Digital Fax.

Method one: Use HP Solution Center to set up HP Digital Fax

  1. Open HP Solution Center:

    • Windows XP: Click Start, click All Programs, click HP, and then click HP Solution Center.

    • Windows Vista: On the Windows task bar, click the Windows icon (), click Programs, click HP, and then click HP Solution Center.

  2. Click Settings, and then click Fax Settings.

  3. Click More Fax Settings, and then click Digital Fax Setup Wizard.

  4. Follow the on-screen instructions to set up HP Digital Fax.

Method two: Use the EWS to set up HP Digital Fax

  1. Open your Web browser, type the IP address for the product in the address bar, and then press Enter.

    For example, if you use IPv4, you might type http://128.0.0.1. If you use IPv6, you might type http://[FE80::BA:D0FF:FE39:73E7].

    The EWS window opens.

  2. Click the Home tab, and then, in the Setup box, click Digital Fax Setup.

  3. Click Start Wizard, and then follow the on-screen instructions to set up HP Digital Fax.

Step three: Use HP Digital Fax

After you set up HP Digital Fax, the product prints black and white faxes. The product then either saves the fax to a network folder or sends it as an attachment to an e-mail. Color faxes print only.

If you set up Fax to Network Folder, the save process happens in the background. HP Digital Fax does not notify you when the product saves faxes to the network folder.

If you set up Fax to E-mail, you can configure your e-mail to send a notification when new messages arrive in the e-mail inbox.

If you do not want the faxes to print at all, follow these steps:

  1. On the product control panel, select Setup, and then select Basic Fax Config.

  2. Select Fax to PC, select Disable Fax Printing, and then select OK.

The product saves black and white faxes to the network or sends them as an attachment to an e-mail. The product saves color faxes to memory.
