Setting Up the Printer for a Wireless Network in Windows XP and Vista for the HP Officejet 6500 and 6500 Wireless All-in-One Printers

Introduction

When you set the printer up on a shared network, you connect and install the printer on a single computer. The computer acts as a host, also called a server, to the printer. All other computers on the network become clients when they print to the printer. This document describes a non-typical installation method for these products.

If you are ready to proceed with installing the printer so that other clients on the network have access to it, proceed with the steps below.

Important! – Sharing devices across your network can allow access across all client computers. If you are unfamiliar with security protocols and protecting access to your data, have your network administrator assist you.

NOTE: If you install the printer in a locally shared network environment, only the host computer has full functionality. The client computers have print-only functionality.

Installing the printer software in a locally shared network environment

Click the plus sign ( ) next to your operating system for more information.

Windows XP

Follow these steps to install the printer software in a locally shared network environment.

Step one: Install the printer software on the host computer

Depending on whether you have the printer software CD, select one of these methods to install the software on the host computer.

Method one: Install the software from the CD

NOTE: If you want to customize your installation, click Selected Software on the Review Installation Options screen.

Follow these steps to install the software using the printer CD.

CAUTION: If connecting by USB, do not connect a USB cable until prompted to do so during software installation. HP recommends using a USB cable that is less than 3 m (10 feet) long.
NOTE: If you get any firewall messages during installation, click continue , unblock , yes , allow , or permit . Otherwise the software installation fails.
  1. Insert the software CD into the CD drive of the computer. The software installer starts automatically.

    NOTE: If the User Account Control screen opens, click Allow to continue.

    If the Install Wizard does not open automatically, click Start , click My Computer , and then double-click the CD drive.

  2. Follow the on-screen instructions to finish installing the software.

Method two: Download and install the software from the HP website

  1. Turn on the printer.

  2. Disconnect the USB cable from the printer and the computer (if you already connected it). If the printer is connected to your network, leave it connected.

  3. Go to HP Customer Support - Software and Driver Downloads .

  4. Use one of the available methods to identify your printer model.

    The software and driver results page displays when the printer model is identified.

  5. Check to see if your operating system is correctly identified. If your operating system is not correct, click Edit , select your operating system and version from the drop-down menus, and then click Update .

  6. Click Driver - Product Installation Software , and then click Download .

  7. If an HP Download and Install Assistant window displays, select Use HP Download and Install Assistant (Recommended) or Download only , and then click Next .

  8. Follow the on-screen instructions to save the driver to your computer.

  9. If you used the Download only method, open or run the driver file, and then follow the on-screen instructions to install the software.

Step two: Share the printer on the network

Perform the following steps on the host computer.

NOTE: Network and print sharing must be enabled on host and clients. A host and all client computers must have a user account with password established.
  1. Click Start , and then click Printers and Faxes .

  2. Right-click the printer icon, and then select Sharing .

  3. Select Share this printer .

  4. Type the name you want to use for the printer on the network.

  5. Click Apply , and then click OK .

Step three: Install printer software on each client computer

Follow these steps to install the HP Officejet printer software on each client computer.

NOTE: You need Administrator privileges to install the printer software on a Windows XP computer. Close any virus protection programs or other software programs that are open and running on the computer, except Windows Explorer.
  1. Click Start , and then click Printers and Faxes .

  2. Double-click Add Printer , and then click Next .

  3. Select Network Printer, or a printer attached to another computer as the printer connection, and then click Next .

  4. Use one of the following options to find the printer.

    • Click Next to browse for a printer (recommended).

    • Select Connect to this printer , and then type the printer name.

    • Select Connect to a printer on the Internet or on a home or office network and type the address (URL) of the printer.

  5. In the Shared printers box, double-click the host computer on which the printer is installed, select the printer, and then click Next .

  6. To use this printer as your default printer, click Yes , and then click Next .

  7. Click Finish .

Windows Vista

Follow these steps to install the printer software in a locally shared network environment.

Step one: Install the printer software on the host computer

Depending on whether you have the printer software CD, select one of these methods to install the software on the host computer.

  5. Check to see if your operating system is correctly identified. If your operating system is not correct, click Edit , select your operating system and version from the drop-down menus, and then click Update .

  6. Click Driver - Product Installation Software , and then click Download .

  7. If an HP Download and Install Assistant window displays, select Use HP Download and Install Assistant (Recommended) or Download only , and then click Next .

  8. Follow the on-screen instructions to save the driver to your computer.

  9. If you used the Download only method, open or run the driver file, and then follow the on-screen instructions to install the software.

Step two: Share the printer on the network

Perform the following steps on the host computer.

NOTE: Network and print sharing must be enabled on host and clients. A host and all client computers must have a user account with password established.
  1. On the Windows task bar, click the Windows icon ( ), and then click Control Panel .

  2. In the Control Panel’s hardware heading, click Printer .

  3. Right-click the printer icon, and then select Sharing .

  4. Select Share this printer .

  5. Type the name you want to use for the printer on the network. Use a name of eight or fewer characters.

  6. Click Apply , and then click OK .

Step three: Install printer software on each client computer

Follow these steps to install the HP Officejet printer software on each client computer.

  1. On the Windows task bar, click the Windows icon ( ), and then click Control Panel .

  2. Click Add a printer , and then click Add a network, wireless, or Bluetooth printer . The computer searches for all the printers shared on the network.

  3. When the shared printer displays in the Add a printer window, click the printer name and then click Finish .

    If the shared printer does not display in the Add a printer window, follow these steps to add the printer manually.

    1. Click Printer that I want isn’t listed , type the printer path and name in the text box, and then click Next .

    2. Click the printer name when it displays, or select the host computer name, browse to the printer, and then click Finish .
