Setting Up the Printer for a Wireless Network for the HP Officejet J4680 All-in-One Printer

Introduction

This document contains instructions to install the product in an existing wireless network that uses an access point, such as a router. This type of network is called an infrastructure network. HP recommends the infrastructure type of network for wireless connection to your product.
NOTE: You can also use these instructions if you previously installed the software for a USB connection and now want to change to a wireless network connection.

Important: Before you can install the printer, your wireless network must already be set up. To set up your network, follow the instructions that came with your particular access point.

Windows XP

Follow these steps for the Windows XP operating system.

IMPORTANT: You must follow these steps in the order presented.

Step one: Gather the required network setup items

You must have the following items before you install the HP printer on the wireless network:

Do not worry if you do not have all of the items yet! The HP Print and Scan Doctor can help you gather some of these items.

  • Network name: The network name is the SSID

  • WEP key or WPA security passphrase

  • A computer that is connected to the wireless network

  • Internet access: HP recommends broadband Internet access such as cable or DSL

    NOTE: Internet access is not required for you to install your printer with a wireless connection. However, you do need Internet access to use Web Services or get product updates.
  • Your wireless-capable HP printer: Place it close to the computer during the installation procedure

  • A USB cable (used only during installation). Do not connect the cable now

Use an automated tool to help gather information

The HP Print and Scan Doctor quickly diagnoses and resolves many printing, scanning, and connectivity problems. It also can easily locate your wireless network login information.

NOTE: The HP Print and Scan Doctor is available for most HP products, and it is available in most languages. However, it might not be available for older HP product models. This tool is not available for Mac OS X operating systems.
  1. Go to the HP Print and Scan Doctor page .

  2. Click Download, and then follow the on-screen instructions to save the software to your computer.

  3. Open the folder where the software file saved (usually Downloads), double-click the file, and then follow the on-screen instructions to complete the installation. The HP Print and Scan Doctor opens.

  4. On the Menu bar in the Print and Scan Doctor window, click Network, and then click Show Advanced Info.

  5. Click Show Wireless Info.

  6. In the Wireless Settings section, the SSID column lists the wireless network name, and the Network Key column lists the corresponding wireless network password.

Step two: Prepare for installation

  1. Make sure the HP printer, access point, and computer are all turned on, and that the computer is connected to the wireless network.

  2. Exit all applications running on your computer.

  3. Disconnect any USB or Ethernet cable that is connected to the HP printer.

  4. If you previously installed the software for a USB connection and now want to change to a wireless network connection, follow these instructions to remove the USB installation before continuing.

    • I have already installed my HP printer with a USB connection and want to switch to a wireless connection.

      1. On the Windows taskbar, click Start (), and then click Printers and Faxes. The Printers and Faxes folder opens.

      2. Find the icon for your HP printer (), and then right-click it.

      3. Click Delete to remove the printer.

      4. Disconnect the USB cable from the printer and the computer.

    • I have not already installed my HP printer with a USB connection.

      Continue to the next step to connect the HP printer to the network.

Step three: Connect to the wireless network

Follow these steps to connect the product to your wireless WLAN 802.11 network.

  1. Press the Setup button () on the product control panel.

  2. Press the Arrow buttons () to highlight Wireless Menu, and then press OK.

  3. Press the Arrow buttons () to highlight Setup Wizard, and then press OK.

    The Wireless Setup Wizard searches for networks, and then displays them in a list.

  4. Press the Arrow buttons () to highlight the network name (SSID) that you gathered in the previous step, and then press OK.

  5. If prompted, enter the WPA or WEP key:

    1. Use the alphanumeric keypad on the product control panel to enter the passphrase.

      NOTE: Make sure that you enter the uppercase (capital) and lowercase (small) letters exactly. Otherwise, the wireless connection fails.
    2. When you finish entering the passphrase, press OK.

  6. Make sure the product successfully connects to the network before continuing to the next step.

    NOTE: If a connection error message displays, make sure that the network name and security key are correct, and then follow the prompts to enter the information again.

Step four: Decide whether to install with the printer CD or download the software

Don’t worry if you don’t have the printer CD! You can download the most current software available for your printer from the HP website at no cost. The following information might help you decide which installation method to use:

  • Install the software with the printer CD

    For a new printer:
    CD installation is a quick and easy method.
    For an older printer:
    CD installation might not work if you are installing the printer on a computer running a newer operating system that released AFTER the HP printer released.
    For example, Windows Vista released in 2007. If HP manufactured your printer prior to that year, the CD that came with the printer might not work correctly on a computer running Vista.
    About the software:
    The software on the CD is current to the date of the printer release.
  • Download and install the software from the HP website

    For a new printer:
    If you do not have a CD, you can download the software you need.
    For an older printer:
    Downloading the software provides the best results for your older printer. Even though it takes more time than using the CD, downloading the latest software can help you avoid installation issues.
    Downloading is the recommended method if your computer operating system released after the HP printer released.
    About the software:
    The software you can download from the HP website is most current software available for your printer. HP often updates software and drivers after the printer and CD release to the market.

Step five: Install the printer software

To install the printer on the wireless network, follow the steps for the method that you want to use (CD or download). Repeat the steps to install the software on each computer that will use the printer wirelessly over the same network.

IMPORTANT: If you get any firewall messages during installation, click unblock, accept, continue, yes, allow, or permit, or the installation will fail.

Method one: Install the software with the printer CD

  1. Insert the printer CD into the CD drive of the computer, and then wait a few seconds for the software installer to start.

    If the installer does not start automatically, follow these steps to start it:

    Click Start (), click My Computer, and then double-click the CD drive.

    NOTE: If the User Account Control screen opens, click Allow to continue.
  2. Follow the on-screen instructions to start the installation.

    If prompted to choose the type of installation, review the following information:

    Recommended type
    Custom type
    Recommended, Full, or Easy
    Custom, Express, or Advanced
    For full use of all your printer features: This installation provides full printer functionality. HP also includes valuable software to help you get the most out of your printer.
    HP designed this type of installation to work for most users.
    A custom type of installation might be available for your printer. This installation allows you to install the minimum software required or the preferred software. Use this type of installation only if you have one of the following reasons:
    • The computer is low on hard disk space.

    • You attempted a recommended type of installation and received errors. (If errors occur during the recommended installation, fix them before trying a custom installation.)

    The Recommended type of installation allows you to take advantage of all your printer features.

  3. When prompted to choose a connection type, select the Network type, not the USB type. The USB cable is for the installation procedure only. (The installer prompts you when to connect and disconnect the USB cable.)

  4. Click Next.

    IMPORTANT: At this point, the installer searches, but does not find the printer because it is not yet connected. This is expected behavior and does not indicate a problem with the setup. Click Next again to continue with the installation.

  5. Follow the on-screen instructions to finish installing the software.

Method two: Download and install the software from the HP Web site

Step-by-step instructions follow, but you can also watch a video preview of downloading the software and installing the printer on the network.

Step one: Download the software

  1. Turn on the printer.

  2. Disconnect the USB cable from the printer and the computer (if you already connected it). If the printer is connected to your network, leave it connected.

  3. Go to HP Drivers & Downloads .

  4. If the Welcome to HP Support page opens, follow these steps:

    1. In the Enter product name or number field, type your printer model or number.

    2. In the Questions or keywords field, type driver, and then press Enter.

      You might need to select your printer model number from a list of similar printer models.

    3. Next to the image of your printer, click the name of your printer.

    4. On the HP support site, click Drivers.

  5. Select your operating system, and then click Next.

  6. Scroll down the page, and then click Driver - Product Installation Software.

  7. Click Download next to the full feature software and driver listed, and then follow the prompts to save the driver to your computer.

  8. Open the folder where the software file saved (usually Downloads), double-click the file, and then follow the on-screen instructions to install the software.

Step two: Install the software

Follow these steps to install the downloaded software.

  1. When the download is complete and you are ready to install the files, click Open Folder, and then click the downloaded file. The file name ends in .exe.

    NOTE: If you closed the Download Complete screen, browse to the folder where you saved the .exe file, and then click it.
  2. You can accept the default location to save the files. Click Next, and then wait while the installer extracts the files to prepare for installation.

  3. When the Install Wizard starts, follow the on-screen instructions to install the software.

    NOTE: You might be prompted to select either the Typical (Recommended) or Minimum installation.
    Typical (Recommended)
    Minimum
    For full use of all your product features: This installation provides full printer functionality. HP also includes valuable software to help you get the most out of your printer.
    This type of installation is designed to work for most users.
    A minimum type of installation might be available for your printer. This installation allows you to install the minimum software required or the preferred software.
    Use this type of installation only if the computer is low on hard disk space or you attempted a recommended type of installation and received errors. (Try to fix any errors before starting a minimum installation.)
    CAUTION: To avoid unintended loss of printer functionality, read the description of each software component carefully during the installation process.

    HP recommends the Typical (Recommended) type of installation to get the most out of your printer.

  4. When prompted to select a connection type, select USB.

  5. Follow the on-screen instructions to complete the installation.

    2. In the Questions or keywords field, type driver, and then press Enter.

      You might need to select your printer model number from a list of similar printer models.

    3. Next to the image of your printer, click the name of your printer.

    4. On the HP support site, click Drivers.

  5. Select your operating system, and then click Next.

  6. Scroll down the page, and then click Driver - Product Installation Software.

  7. Click Download next to the full feature software and driver listed, and then follow the prompts to save the driver to your computer.

  8. Open the folder where the software file saved (usually Downloads), double-click the file, and then follow the on-screen instructions to install the software.

Step two: Install the software

Follow these steps to install the downloaded software.

  1. When the download is complete and you are ready to install the files, click Open Folder, and then click the downloaded file. The file name ends in .exe.

    NOTE: If you closed the Download Complete screen, browse to the folder where you saved the .exe file, and then click it.
  2. You can accept the default location to save the files. Click Next, and then wait while the installer extracts the files to prepare for installation.

  3. When the Install Wizard starts, follow the on-screen instructions to install the software.

    NOTE: You might be prompted to select either the Typical (Recommended) or Minimum installation.
    Typical (Recommended)
    Minimum
    For full use of all your product features: This installation provides full printer functionality. HP also includes valuable software to help you get the most out of your printer.
    This type of installation is designed to work for most users.
    A minimum type of installation might be available for your printer. This installation allows you to install the minimum software required or the preferred software.
    Use this type of installation only if the computer is low on hard disk space or you attempted a recommended type of installation and received errors. (Try to fix any errors before starting a minimum installation.)
    CAUTION: To avoid unintended loss of printer functionality, read the description of each software component carefully during the installation process.

    HP recommends the Typical (Recommended) type of installation to get the most out of your printer.

  4. When prompted to select a connection type, select USB.

  5. Follow the on-screen instructions to complete the installation.

Windows 8

Follow these steps for the Windows 8 operating system.

NOTE: If you are not using the latest version of Windows 8, the information in this document might not match. You can get the latest version from the Microsoft Store.

IMPORTANT: You must follow these steps in the order presented.

Step one: Gather the required network setup items

You must have the following items before you install the HP printer on the wireless network:

Do not worry if you do not have all of the items yet! The HP Print and Scan Doctor can help you gather some of these items.

  • Network name: The network name is the SSID

  • WEP key or WPA security passphrase

  • A computer that is connected to the wireless network

  • Internet access: HP recommends broadband Internet access such as cable or DSL

    NOTE: Internet access is not required for you to install your printer with a wireless connection. However, you do need Internet access to use Web services or get product updates.
  • Your wireless-capable HP printer: Place it close to the computer during the installation procedure

Use an automated tool to help gather information

The HP Print and Scan Doctor quickly diagnoses and resolves many printing, scanning, and connectivity problems. It also can easily locate your wireless network login information.

NOTE: The HP Print and Scan Doctor is available for most HP products, and it is available in most languages. However, it might not be available for older HP product models. This tool is not available for Mac OS X operating systems.
  1. Go to the HP Print and Scan Doctor page .

  2. Click Download, and then follow the on-screen instructions to save the software to your computer.

  3. Open the folder where the software file saved (usually Downloads), double-click the file, and then follow the on-screen instructions to complete the installation. The HP Print and Scan Doctor opens.

  4. On the Menu bar in the Print and Scan Doctor window, click Network, and then click Show Advanced Info.

  5. Click Show Wireless Info.

  6. In the Wireless Settings section, the SSID column lists the wireless network name, and the Network Key column lists the corresponding wireless network password.

Step two: Prepare for installation

  1. Make sure that the HP printer, router, and computer are all turned on, and that the computer is connected to the wireless network.

  2. Close all applications running on your computer.

  3. Disconnect any USB or Ethernet cable that connects to the HP printer.

  4. If you previously installed the software for a USB connection and now want to change to a wireless network connection, follow these instructions to remove the USB installation before you continue.

    • I already installed my printer with a USB connection and want to switch to a wireless connection

      1. Right-click the Start button () in the lower left corner of the screen, click Search, and then type Devices.

      2. Click Devices and Printers.

      3. Right-click all icons for your printer, and then click Remove Device.

    • I did not already install my HP printer with a USB connection

      Continue to the next step.

Step three: Connect to the wireless network

Follow these steps to connect the product to your wireless WLAN 802.11 network.

  1. Press the Setup button () on the product control panel.

  2. Press the Arrow buttons () to highlight Wireless Menu, and then press OK.

  3. Press the Arrow buttons () to highlight Setup Wizard, and then press OK.

    The Wireless Setup Wizard searches for networks, and then displays them in a list.

  4. Press the Arrow buttons () to highlight the network name (SSID) that you gathered in the previous step, and then press OK.

  5. If prompted, enter the WPA or WEP key:

    1. Use the alphanumeric keypad on the product control panel to enter the passphrase.

      NOTE: Make sure that you enter the uppercase (capital) and lowercase (small) letters exactly. Otherwise, the wireless connection fails.
    2. When you finish entering the passphrase, press OK.

  6. Make sure the product successfully connects to the network before continuing to the next step.

    NOTE: If a connection error message displays, make sure that the network name and security key are correct, and then follow the prompts to enter the information again.

Step four: Download and install the software from the HP website

Follow these steps to download and install the software. Repeat the steps to install the software on each computer that uses the printer wirelessly over the same network.

Important: If you get any firewall messages during installation, click unblock, accept, continue, yes, allow, or permit, or the installation fails.

  1. Turn on the printer.

  2. Disconnect the USB cable from the printer and the computer (if you already connected it). If the printer is connected to your network, leave it connected.

  3. Go to HP Drivers & Downloads .

  4. If the Welcome to HP Support page opens, follow these steps:

    1. In the Enter product name or number field, type your printer model or number.

    2. In the Questions or keywords field, type driver, and then press Enter.

      You might need to select your printer model number from a list of similar printer models.

    3. Next to the image of your printer, click the name of your printer.

Mac OS X

Choose your operating system for steps to install the software for a wireless connection.

Important: Set up the HP hardware before installing the software. If you have not already done so, find the hardware setup document for your printer before starting the following steps.

Mac OS X 10.5 or 10.6

Follow these steps for Mac OS X 10.5 or 10.6 (Snow Leopard).

  • If you have not already installed your printer, follow the steps in 'Option one: Wireless installation'.

  • If you want to change an existing connection type to a wireless network connection, follow the instructions in 'Option two: Change an existing USB or wired (Ethernet) connection to a wireless connection'.

Option one: Wireless installation

If you have not previously installed the software, follow these steps to install your printer on a wireless network.

Step one: Prepare for installation

  1. Make sure that you have the following requirements before you begin:

    • Network name: The network name is the SSID (Service Set Identifier).

    • WEP key or WPA security passphrase

    • A computer that is connected to the wireless network.

    • Internet access. HP recommends broadband Internet access such as cable or DSL.

    • Your wireless-capable HP product. Place it close to the computer during the installation procedure.

    • A USB cable (used only during installation).

    • Administrator privileges or password

  2. Make sure the product, access point, and computer are all on, and that the computer is connecting to the wireless network.

  3. Connect the USB Cable to the rear port of the HP product and to any USB port on the computer.

  4. Exit all applications running on your computer.

Step two: Connect to the wireless network

Follow these steps to connect the product to your wireless WLAN 802.11 network.

  1. Press the Setup button () on the product control panel.

  2. Press the Arrow buttons () to highlight Wireless Menu, and then press OK.

  3. Press the Arrow buttons () to highlight Setup Wizard, and then press OK.

Should I download from HP Software & Driver Downloads?

The current full-feature HP software package for your product is available on the HP Software & Driver Downloads page. The download includes the HP print driver, HP Utility, and HP Installer to walk you through the installation steps. Depending on your product, the download might also include HP Scan software and the HP fax driver.

HP recommends this installation method for all new and older products.

Additionally, HP recommends that you use this installation method in the following cases:

  • You no longer have the product software CD

  • You updated your operating system to a version that released after your HP product released

Should I install the software with Apple Software Updates?

Apple Software Updates is a quick and easy software download method available directly through the Mac.

You do not need to download a driver from the HP Software & Driver Downloads page if you use Apple Software Updates. This download method includes the HP print driver. Depending on your product, the download might also include HP Utility, scanning software, and the HP fax driver.

NOTE: If your product supports scanning, the software that you use to scan might be different than the software you used before installing Snow Leopard. Depending on your product driver update, use Preview, Image Capture, or the Scan icon from the print queue to scan.

Additionally, HP recommends that you use this installation method in the following cases:

  • You no longer have the product software CD

  • The updated full-feature HP software is not immediately available on the HP Software and Drivers page after the public release of a new operating system

  • You updated your operating system to a new version that released after your HP product released

Should I install using the software CD?

Installing with the product CD is a quick and easy method. The CD includes the HP print driver, HP Utility, and HP Installer to walk you through the installation steps. Depending on your product, the CD might also include HP Scan software and the HP fax driver. This software is current to the date of the product release.

Important: If you try installing the product on a computer running a newer version of the operating system that released AFTER your HP product released, the CD installation method might not work. Visit HP Software & Driver Downloads to install the latest product software for the newer operating system.

Step four: Install the software

To install the HP printer on the wireless network, follow the steps for the method that you want to use. Repeat the steps to install the software on each computer that will use the HP printer wirelessly over the same network.

Method one: Download and install the software from the HP Web site

  1. Turn on the printer.

  2. Disconnect the USB cable from the printer and the computer (if you already connected it). If the printer is connected to your network, leave it connected.

  3. Go to HP Drivers & Downloads .

  4. If the Welcome to HP Support page opens, follow these steps:

    1. In the Enter product name or number field, type your printer model or number.

    2. In the Questions or keywords field, type driver, and then press Enter.

      You might need to select your printer model number from a list of similar printer models.

    3. Next to the image of your printer, click the name of your printer.

NOTE: Apple Software Updates is not supported in Mac OS X 10.5. Software for this operating system is available on the HP Software & Driver Downloads page and on the software CD.
  1. Click the Apple menu (), and then click System Preferences. The System Preferences window opens.

  2. Click Print & Fax. The Print & Fax window opens.

  3. Click the plus sign (). The name of your product displays.

  4. Select your HP product, and then click Add.

  5. Click Install, and then click Agree on the software license agreement window to install the software and add the product to the queue.

  6. After the installation process completes, verify that your product displays in the queue.

    NOTE: If the product was not added to the queue, Click the plus sign (), select your HP product, and then click Add.
Method three: Install the software with the software CD

  1. Insert the Macintosh product CD into the CD drive of the computer.

  2. Double-click the HP software disc icon that displays under the Macintosh HD icon.

  3. Double-click the HP Installer icon.

    The HP Installer program opens.

  4. When prompted, select your HP product, and then click OK.

  5. Follow the on-screen instructions to complete the installation.

Option two: Change an existing USB or wired (Ethernet) connection to a wireless connection

Follow these steps to change the connection type with Bonjour.

NOTE: The printer software or the in-OS driver must be installed to change the connection type with Bonjour.
Step one: Connect to the wireless network

Follow these steps to connect the product to your wireless WLAN 802.11 network.

  1. Press the Setup button () on the product control panel.

  2. Press the Arrow buttons () to highlight Wireless Menu, and then press OK.

  3. Press the Arrow buttons () to highlight Setup Wizard, and then press OK.

  4. Click the plus sign ().

  5. Select your printer from the list of Bonjour devices, and then click Add.

OS X 10.7 (Lion)

Follow these steps for OS X 10.7 (Lion).

  • If you have not already installed your printer, follow the steps in 'Option one: Wireless installation'.

  • If you want to change an existing connection type to a wireless network connection, follow the instructions in 'Option two: Change an existing USB or wired (Ethernet) connection to a wireless connection'.

The software CD that shipped with your printer is not supported in Lion. Follow these steps to download the current software from Apple Software Updates. Repeat these steps to install the software on each computer that will use the HP printer wirelessly over the same network.

NOTE: Older HP software might not be compatible with OS X 10.7 Lion. Do not try to install software that supports earlier versions of the Mac operating system, either from the original printer CD or from HP Software & Driver Downloads.
  1. Click the Apple menu (), and then click System Preferences. The System Preferences window opens.

  2. Click Print & Scan. The Print & Scan window opens.

  3. Click the plus sign (). The name of your printer displays.

  4. Click Add Printer or Scanner.

  5. Select your printer, and then click Add.

  6. Click Install, and then click Agree on the software license agreement window to install the software and add the printer to the queue.

  7. After the installation process completes, verify that your printer displays in the queue.

    NOTE: If the product was not added to the queue, Click the plus sign (), select your printer, and then click Add.
